Generative AI Guidelines and Use Cases

Emerging technologies, such as Generative AI (GenAI), are transforming the way we live, learn, and work. They amplify human potential and play a vital role in driving educational and organizational success. These tools are essential for fostering innovation and advancing Montgomery College’s  mission: to transform lives, enrich the community, and change the world.

The use of GenAI brings with it risks including, but not limited to, those associated with

  • information security and data privacy
  • intellectual property and copyright issues
  • trustworthiness of the content they generate,
  • academic integrity

Gen AI also brings risks associated with the limits and opportunities such tools place on critical thinking, retention of material, and performance. 

Per College Policy and Procedure 70001: Responsible Use of Emerging Technologies (PDF, Get Adobe Acrobat PDF Reader. Link opens in new window.) , the following guidance is intended to help the Montgomery College community understand and evaluate the risks associated with the use of GenAI tools.

Due to the rapid evolution of this new technology, this guidance will serve as a critical resource and updated periodically to reflect material changes to the technology and the risks associated with its use. The College community is encouraged to reference this guidance and to open a ticket with the IT Service Desk with any specific questions.

General Guidelines

When using third party AI tools or services that are not administered by the College, you can assume that there are no standard College security, privacy, or compliance provisions available when using these technologies. Usage is governed by these guidelines and any other related or relevant College policies and procedures.

No Sensitive or Confidential data, as defined in the Use Case section below, may be entered into any AI tools or services, except in cases where the College has an agreement with the solutions provider that assures data protection, and the solution has been approved for such use.

Any user wishing to purchase and/or install GenAI technology tools or services must follow the Technology Request Process to ensure that all requests are reviewed for security, accessibility, and legal considerations and comply with 76001: Acceptable Use of Information Technology (PDF, Get Adobe Acrobat PDF Reader. Link opens in new window.) prior to purchase and/or use.

All users, should disclose and, when applicable, make proper attribution when using GenAI tools in teaching, learning, research, scholarship, and administrative activities, including marketing. Disclosure should include what tool was used and verification that the output was reviewed for accuracy. An example disclosure statement is: “This content was generated in part by <GenAI Tool> and was reviewed by the following College employees: <list names and titles>.”

Use Cases

Per College Policy 76002 – Confidential Data Management and Security, the College classifies data based on risk. Below is a table summarizing the different risk levels and their impact on GenAI use cases.

Risk Classification Definition Use Case Guidance
Low Public – Data approved for distribution to the public without restriction. Its distribution is without potential hazard to the College, affiliates or individuals. Can be used in free, non-enterprise, and enterprise tools.
Medium Sensitive - Data that is not protected by regulatory requirements, but is considered internal use only. This Data might include (but is not limited to) employee, academic, planning, facility, emergency or administrative Data that is restricted for reasons related to public or individual safety, competition, ongoing development or is otherwise sensitive in nature. Cannot be used in free or non-enterprise tools, but can be used in enterprise tools with additional review and approval.
High Confidential - Data that is protected by federal, state, or local law or regulation, College Policy or Procedure, professional code, contract; or other binding mechanism. This includes PII and Confidential Information. Any Data that could, by itself, or in combination with other such data, be used for identity theft, fraud or other such crimes should be treated as Highly Sensitive Data. Cannot be used in any free, paid, or enterprise tool.

 

Common Use Cases

(Low Risk) – In general, this is an effective and safe use of generative AI tools. It is important to review the revision to make sure AI did not change the meaning of what you were trying to say, and to follow the general guidelines and applicable policies. When entering text for this purpose, remove any identifying information that would not otherwise be publicly available. 

(Low Risk) – In general, this is a productive use of generative AI tools. Just make sure to follow the general guidelines and applicable policies. 

(Low Risk)- Depending on the situation's specific details and the document's privacy requirements, this can be a beneficial use case for AI. This can be helpful when used to gain a general introduction to a text or subject area. Please be mindful that AI-generated summaries may not be comprehensive or fully accurate. Therefore, College users are strongly encouraged to refer to the primary documents before making any critical decisions related to Montgomery College. 

(Low Risk) – In general, this is a great use of generative AI tools. Just be sure that all details for your event are accurate in the final output. 

(Low Risk), (Medium Risk), (High Risk) – This depends on data classification and the privacy protection offered by the system being used to analyze the data. As a general rule, Sensitive or Confidential data should not be entered into an AI tool. Even when the AI system offers privacy protection, all identifying information should be removed from datasets before it is uploaded into any AI data analysis tool. (Low Risk), (Medium Risk), (High Risk) – This depends on data classification and the privacy protection offered by the system being used to analyze the data. Teaching and Learning Use Cases

Link opens in new window.) which focused on enhancing the learning environment, encouraging the exploration of pedagogical approaches, and engaging in collaborative learning.

Administrative Use Cases

(High Risk) – This is not an appropriate use of AI. AI can introduce bias and be factually incorrect so it should not be used to review vendor proposals in the competitive bid process. Additionally, there may be proprietary/protected information in RFP responses that should not be entered into AI systems. 

(Medium Risk) – AI can be helpful in the writing process, but in this case, all of the ideas and concepts should come from the supervisor who is responsible for the performance appraisal. AI can be used to help summarize multiple sources of input and data; this helps formulate thoughts without duplications.

AI can, with the proper prompts, aid in providing language that is more constructive or that provides clearer guidance. It can also help with creating personalized development plans based on content in the narrative of the performance review. Using key points from bulleted lists or notes, AI can streamline for clear, concise feedback, action items, and goals. Again, this is based on the supervisor’s findings and evaluation, and should NOT be generated by AI.

When utilizing AI for performance reviews, confidential, organizational, or personally identifiable information should not be entered into the AI tool. Be aware of the potential for AI to produce content that may introduce bias or produce inaccurate or false information. It is critical to keep the human in the loop and all material should be reviewed and verified by the supervisor authoring the review. 

(High Risk) – AI systems are known to demonstrate bias, so reviewing job applicants' resumes is not an appropriate use of AI. This process should be done by the recruiter. AI might inadvertently discriminate based on protected characteristics given the AI tool’s source data. 

(Medium Risk) – AI can be used to help articulate the language needed to make your job description more concise and inclusive. However, the position descriptions should be developed in accordance with Montgomery College Policy and Procedures. 

(Medium Risk) – While generative AI can be a good place to start with generating outlines and starting text for policies and procedures, all output should be closely reviewed by a subject matter expert before being officially enacted. 

(High Risk) - There are many complications with recording and summarizing meetings. At this time the only approved AI Notetaker solution is the Zoom AI companion.
