Time Entry Guidance
Essential employees must use the correct time entry codes during College closures and supervisors must review for accuracy before approving timesheets:
- If an essential employee is scheduled to work on a full or partial day the College
is closed, but not required to report to work, they must use Operational Status Change Time Off for the full shift, up to eight (8)
hours.
- If an essential employee is scheduled to work during a closure and required to report
to work, they must use regular hours for the total hours worked, up to eight (8) hours, and EPO for the total
number of hours worked during the College closure. The EPO entry will provide the additional 1.5 times pay for the applicable number
of hours.
- If an essential employee is NOT scheduled to work during a closure and required to report to work, they must use EPP ONLY. EPP hours should ONLY be in addition to an employee’s 40 regular weekly hours. The EPP entry will provide 2.5 times pay for the applicable number of hours. It may be appropriate for an essential employee to follow EPO time entry guidance and EPP time entry guidance in the same day if required to work more hours than scheduled during a college closure.
In all cases, an essential employee’s total Regular hours must add up to at least 40 hours worked in the week, including regular hours worked and approved time off, to allow annual and sick time offs to accrue correctly. Failure to ensure the full workweek is accounted for with regular and time off hours will result in incomplete annual and sick time off accruals.
